Our Privacy Policy below explains how we collect, use, share and secure your personal data.

We are responsible for collecting, holding and managing any personal data which you share with us.

We will keep your personal details safe and secure and will use the personal data you provide lawfully and as explained below.

What information do we collect?

Enquiries – If you contact us with an enquiry about a potential booking we will not hold any details from you for any use other than for our response or correspondence to you. Nor is this information shared outside of our business partners.

Making a booking – If you contact us to make a booking, or about a booking already made, we will collect and hold certain details in relation to that booking to help us to manage your arrival and stay. This information includes lead guest name, contact details, address, dates of arrival and departure, property booking, time of arrival, names of other guests, ages of guests if 16 years or younger and any special requirements. A booking is placed on-line direct with us, over the phone or email using our website www.bowkettcottage.com or via our secure partner AirBnB, Booking.com or Verbo,  who also operate to detailed data management and protection guidelines so you can be assured that your data is safe.

Payments – We do not take telephone payments at this time and so no card details are held. We accept BACS payments however we do not hold any bank details for this.

Website Usage – We also collect information about our website use via Google Analytics. This information does not identify individual people but gives a report on website usage, for example mode of media used, time spent on each page, movement across the website and route to reach the website. No individual personal data is collected, seen nor is any individual identifiable. Cookies may be used but no profiling is carried out by us.

How do we use your information?

The information you provide may be used in a number of ways, for example:

  • to enable us to respond to a holiday enquiry
  • to enable us to confirm your booking and payments made (if you are booking a holiday through us)
  • to enable us to arrange final balance payments
  • to enable us to make final arrangements regarding your booking
  • to personalise repeat visits for enquiries and bookings
  • to let you know about our new properties, offers, changes and other news if you have “opted in” when placing a booking to receive this information
  • to manage your visit queries to enable us to provide information and services you have requested
  • to enable us to follow up your visit for feedback
  • to carry out statistical analysis for our own advertising purposes
  • We will never pass your details to a third party outside of our booking and management processes. Only those involved in your booking with ourselves at Bowkett Cottage will be passed your details in order to manage your stay.
  • We will never sell on your details or pass to anyone outside of our guest management processes.

Legal Obligations

To the extent that we are required to do so by law, or regulation by a law enforcement or taxation agency, or for the purposes of preventing crime, we may use and disclose your personal data for compliance purposes.

Who will you share my data with?

No personal information is collected, stored or sold to third parties.

To provide you with the products and services that we offer and/or in our legitimate interests, we may share your information with:

  • All owners of Bowkett Cottage to manage your booking
  • We may also use and disclose your personal data, without your permission, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.

How is my information managed, held and destroyed?

We only transfer your information to our booking system here at Bowkett Cottage. Bowkett Cottage will hold your data securely, using password encrypted technology, for the length of time required by law for taxation purposes and under timescales specified for international travel. All data will be destroyed within legal timescales and in a secure manner (as far as is possible). We will always ensure that adequate levels of protection are in place to protect the integrity and security of any information we process, hold and destroy and in compliance with applicable privacy laws. We aim to review our privacy policy and its communication annually.

Your rights

You have the right to ask us at any time to:

  • confirm whether we hold any of your personal data, what and where
  • to send you a copy of what we hold about you
  • to correct any inaccuracies in your personal data and add any you feel is helpful
  • to delete (to the extent possible) any of your personal data, where we are required by law to do so
  • to stop processing your personal data, where we are required by law to do so
  • to stop processing any of your personal data that we process on the basis of our legitimate interest
